Event AV Rental in Orange County: What to Rent, What to Hire, and What It Includes

Whether you're planning a corporate conference in Irvine, a gala on the coast, or a concert anywhere in Southern California, audiovisual production is often what makes the event feel professional. A good PA system, the right lighting and a clean stage are what attendees remember. AV is also where many planners feel least sure of themselves. Should you rent equipment and run it yourself, or hire a full event production team?

Pro Production Specialists (PPS Audio Visual) has supported live events from its Orange County base since 2014. This guide covers what's typically available, how to choose, and what to ask before you book.

Rent the Gear or Hire the Production?

Most events fall into one of two categories.

Equipment rental works well when you have a capable operator on site and a simple setup, such as a few wireless microphones and a speaker system for a company meeting, or some lighting fixtures for a venue that already has a technician. You rent the pieces you need and handle operation yourself.

Full-service event production makes sense when the event has several moving parts, such as a keynote with live streaming, a concert, a product launch or a multi-room conference. In that case one team designs, delivers, operates and strikes the audio, lighting, video and staging so that everything works together.

PPS offers both. You can rent lights, mixing consoles and audio gear, or bring in the team for end-to-end event planning and production.

Audio: Sound That Performs in Any Room

Poor audio is the fastest way to lose an audience. Professional event audio usually includes:

  • Live sound systems. These are tour-grade speaker systems sized to the venue. PPS works with L-Acoustics, d&b and Meyer Sound systems for concerts, conferences and productions of all sizes.

  • Mixing consoles. These are digital consoles from DiGiCo, Yamaha and Avid that give an engineer precise control over every microphone and playback source.

  • Wireless microphones and in-ear monitors (IEMs). These are Shure, Sennheiser and Lectrosonics systems with RF coordination, so signals stay clear of interference in crowded wireless environments like hotels and convention centers.

Tip: If you're renting a mixing console, confirm who will operate it. A tour-grade console in untrained hands can cause more problems than it solves.

Lighting: Setting the Mood and Defining the Space

Event lighting does more than make the stage visible. It shapes the atmosphere, directs attention and makes photos and video look polished. Options range from simple stage washes to full concert rigs with beams, strobes and lasers.

Larger shows rely on professional lighting control systems such as grandMA, Hog and Avolites. These let a designer program cues in advance and run the show precisely. For complex events, PPS also offers lighting design and pre-visualization using MA 3D, Vectorworks and WYSIWYG, so you can see the look before load-in day.

Video: LED Walls, Projection and Live Streaming

Video has become standard at Orange County corporate events and concerts. The main choices are:

  • LED video walls. These are bright, seamless and readable even in daylight. PPS works with ROE, Absen and Unilumin panels.

  • Projection. This is cost-effective for conference rooms and also works for projection mapping onto scenic surfaces. PPS uses Barco, Christie and Panasonic projectors.

  • Live streaming. This means multi-camera production with graphics and real-time switching, so remote attendees get a broadcast-quality feed.

Staging and Event Design

The stage is the visual anchor of the room. Event design brings together custom stage sets, scenic elements and backdrops, with audio, video and lighting built in rather than added at the end. For conferences and galas, CAD floor plans, capacity planning and flow analysis help guests move comfortably through the space. Photorealistic 3D renderings let you approve the design before anything is built.

Questions to Ask Any Orange County AV Company

Before booking, get clear answers to these questions:

  1. What's included? Delivery, setup, operation and strike, or just the gear?

  2. Who runs the show? Is there an experienced engineer or technician on site?

  3. Has the venue been considered? Power, rigging points, load-in access and room acoustics all matter.

  4. Is there a backup plan? Ask about spare microphones and redundant playback, and about RF coordination for wireless systems.

  5. Can you see the plan first? Drawings or renders reduce surprises on show day.

Why Work with a Local Production Team

A team based in Orange County knows the region's venues, travel times and logistics. It can also respond quickly when plans change. PPS combines creativity with technical precision, from the first concept through the final cue, for events throughout Orange County and Southern California.
